Yay!! You signed someone up…now what?

 

Every new person to your team will be incredibly exciting, whether it is #1 or #1000 or #10,000. Knowing one more person is using Young Living and experiencing the gift of these products is a thrill.

Your next steps can ensure their continued excitement so let’s be sure to welcome them with a ton of support.  

The first 100 days are crucial to help people become more educated while they are still excited about the prospect of using oils. Be sure to feed into that excitement with exquisite customer care!

Here is my Welcome Protocol. It may feel labor intensive but worth every minute of your time! You want people to feel special and cared for and you want to be sure they get full use of their investment so they stay a member with you forever! It takes so much less energy to keep a member then to find another one. Take the time to keep them a member! 

Also feel free to refine the welcome based on your population. If you have a younger population that never uses emails, use the texting system. If you have an older population who doesn’t text, utilize just the emails. Frankly, I do think snail mail gets everyone’s attention nowadays — who doesn’t appreciate a little mail! 🙂

I break up my follow up protocol into 4 parts:

  • Within 24 hours of signing up: Getting them set up in your system.
  • 10-14 days later: Box Opening Call, if they want one.
  • 30 days later: Care Call: Introduce a Wellness Map & Essential Rewards
  • 90 days later: Care Call: Talk Essential Rewards 

You can use this form to keep track of your steps for each member: Member Profile & Checklist.  

One of the greatest challenges is tapping into the best way to stay in contact with people. I use a couple of systems to help. I like both and appreciate both. They are worth the investment: 

  • Marketing Scents (MS): A contact database and a resource for emails and automated responders. When you join, you can be tapped into Simply Serendipity’s system of emails. $20 a month until 3 people sign up with your referral link and then it is free. (If you decide to go this route, ask us for a referral link.)
  • Project Broadcast (PB): LOVE this service! A texting service that allows you to send out personalized texts in a mass amount and people can initiate automated responses. PLUS, you can download any series that we have written.

Also, remember, each person is unique. Some people will take advantage of ALL of this education, love when you call, and sign up to whatever you offer. Others you will never hear from again, no matter how you reach out. Go through these steps for each and honor what each person wants. Place the majority of your time, effort and love on those who seek it but never give up on those who don’t respond. (Can’t tell you how many people have exclaimed, “thanks for not giving up on me!” after I reached out for the tenth time!

We also have a Welcome Page on our website that is there for you to use. I offer a gift to my peeps when they have finished going through it. (Gives me an “excuse” to send some resources! If you want to do this, just send something that is on your shelf. Keep it simple.)

Within 24-hours…

Many of these tasks are done at the same time you sign your new member up. If it isn’t completed, the sooner the better, preferably within 24 hours. You can use the Member Profile & Checklist to help you track what you have completed.

Schedule a Box Opening: When I enroll anyone, I schedule a “Box Opening Call” right then and there while I am still with the person. The Box Opening Call will be around 7-9 days after they order. They should have their kit by then and you can talk them through each part of their kit. Here is an outline of the Box Opening: Box Opening Script. (Not sure how to do a call like this? Ask your sponsor to do one with you.) (They may choose to do the Box Opening Video on the Getting Started page.)

  1.  Adding your member to our Facebook group: We have quite a few facebook groups! 🙂 Be selective and add people to the pages that are the most appropriate.

    2. Simply Serendipity Glitterati
    3. Yoga + Essential Oils Community
    4. The Sparkle Crew
  2. Tag them in the pinned post and welcome them: In both the Sharing Essential Oils with Simply Serendipity FB page and the Glitterati page, the pinned posts have a bevy of getting started into for people and directions on how to use them. You will want to tag them in the post and welcome them. (Tag them by typing an @ in front of their name in the comments of the post. Their name will pop up and you simply click on it.)
  3. Send a personal welcome email: (Scroll down for verbage.) This email will have a bevy of getting started ideas and a link to the Getting Started videos. We have a “START HERE” page on our website. It will be VERY helpful to your peeps! There are Box Opening videos for each of the kits AND a bevy of info to help them learn about their Virtual Office, ER, the next products to investigate, etc. I send out a welcome gift to everyone who goes through the videos. Definitely send something out! I keep the cost low and base it on reference material or samples. It you need to make it easier, consider purchasing the reference app for them through the app store. If you need it to be cheaper, send a PDF of recipes for the PSK.
  4. Send welcome text via Project Broadcast (PB)? If you have this service, we have a thorough welcome series people can opt into. You can download it with this bundle code: SJq1ZUw8M.
  5. Send New Member Welcome Pack: Send them a welcome package (or give it to them when they sign up). Maybe it is just a thank you card (check out Target or Michael’s dollar bins for a bevy of inexpensive thank you cards!). I like to add reference materials, postcards with info, info on ER, if they haven’t signed up yet, etc. You can check out all of my ideas here: Welcome Packs.
  6. Send separate email on Wellness Map: In the initial email, I allude to a Wellness Map offer and send a follow up in a separate email around Day 30 with more information. The Wellness Map is simply product suggestions to help your member move toward achieving three goals they have for themselves or a family member. It is simply a form set up on Google Docs. You can access it and mait it your own here: Wellness Map form. The form I use also asks about topics they might like to learn more about. You will need this information for the 30-day and 90-day check ins. I have the Wellness Map email script below.

 

PERSONAL WELCOME EMAIL script:

This email campaign is through Marketing Scents. The campaign is one I set up for you to use. Consider getting your own account soon and you will be able to download this series for your own use. At 10 Days

7-14 days after your peeps signs up, reconnect with them.  They should have their kit by then. Hopefully you were able to set up a Box Opening with them when they signed up, but if they weren’t interested, this call can simply be a “do you have questions” call.

I do three things with this call:

  1. Getting Started: I make sure they have: (Remember, they may or may not. These are there for people who embrace info. Not everyone does and not everyone wants help. It will simply help you to focus on those who DO want your support.)
    1. explored the FB pages and
    2. watched the Getting Started videos and
    3. completed the Wellness Map form
  2. Box Opening: If it is a Box Opening, again, here is the script: Box Opening Script. (If they chose not to do the Box Opening Video, ask if they had a chance to check out the videos on the Getting Started page.)
  3. Talk about ER: If they haven’t already joined. You may want to consider offering a gift or product credit if they join ER and order for three months. Three months is the magic amount because in month 4, they will receive their gift from YL and go up to 20% return. I set the minimum at 100pv so they also get the freebie each month.

I always end every call or voicemail with these two invites:

  1. Invite to next 201: Invite them to the next continuing education workshop you are teaching or we are hosting on the Sharing FB page. (If we don’t have one scheduled, be sure to remember her when we do our next event.)
  2. Invite to Invite: ALWAYS end every contact with anyone with a simple, “I have an event [next week] for people to bring a guest to. Do you have anyone who is interested in learning about these products or someone who you think would enjoy them?”

At 30 Days

30 days after your peeps signs up, reconnect with them.  Now is the time to put even more energy into continuing education. Now that they have been using their starter kit for a few weeks, they may be ready for more info.

I do three things with this call:

  1. What do you love & What do you have no idea how to use?: I love starting this way. It gets h conversation going.
  2. Keep them educated: I let them know I am excited to support them going forward to achieve their wellness goals. If they have completed the Wellness Map, I will let them know I am sending them a few product suggestions that they will want to research themselves. If applicable, I want to follow up with some further info, depending on their interests. I may send a link to an applicable podcast or a link to an educational series we have done.
  3. Discuss #SSClubER: If they have yet to jump on the ER bandwagon, talk about it again.

As always, end with these two invites:

  1. Invite to next 201: Invite them to the next continuing education workshop you are teaching.
  2. Invite to Invite: ALWAYS end every contact with anyone with a simple, “I have an event [next week] for people to bring a guest to. Do you have anyone who is interested in learning about these products or someone who you think would enjoy them?”

90 days after your peeps signs up, reconnect with them.  This call is the same as the 30 day call with the addition of sending them a gift or product credit, if you offered one, for being on ER for three months.

I do two three with this call:
